Offshore vs. Outsourced Accounting: What's Actually Different
Both terms get used for almost any arrangement that moves accounting work outside your building. The actual models underneath them are different enough to change how you should evaluate a provider.
Last updated October 10, 2026
Short answer: traditional outsourcing hands a process to a vendor who owns the output, usually through a pooled team you never meet individually. Offshore staffing places a named, dedicated person on your team, working inside your own systems under your direction, just located in a different country. The same vendor can offer either model, so the label on their homepage matters less than the actual engagement terms.
The two models, side by side
| Dimension | Traditional outsourcing | Offshore staffing |
|---|---|---|
| Who you work with | A process or output, often a rotating or pooled team | A named individual assigned to your account |
| Where the work happens | Inside the vendor’s own systems and workflows | Inside your own software, under your access controls |
| Who directs day-to-day work | The vendor manages the process to a defined output | You supervise, review and approve, closer to an in-house hire |
| Continuity | Varies; you may not know who touched a given task | The same person shows up daily, joins your standups |
| Pricing shape | Often per-transaction, per-project or tiered packages | Typically a flat monthly fee per dedicated seat |
| Typical market rate | $1,200-$2,500/month per dedicated FTE, per multiple vendor pricing guides. These figures come from offshore providers' own published content, not an independent market survey. Treat as a directional range, not a verified industry average; actual quotes vary by scope, seniority and provider. | |
Why the labels get used interchangeably
Most providers in this space don’t cleanly fit one box. A company can run a pooled, process-based model for one client and a dedicated-seat model for another, under the same brand. The label a vendor uses on their marketing site tells you less than two direct questions: is the person working on my account dedicated to me, and do they work inside my systems or theirs?
What this means when you’re evaluating a provider
Neither model is inherently better. A pooled outsourcing arrangement can make sense for a narrow, well-defined, high-volume task with little need for context across engagements. A dedicated offshore seat makes more sense when the work requires continuity, firm-specific knowledge, or direct supervision close to how you’d manage an in-house hire. See our buyer’s checklist for the specific questions that surface which model you’re actually being offered, regardless of what it’s called.
Where we fit
We run the dedicated-seat model: you interview and approve each named person, they work full-time inside your own QuickBooks, Xero or NetSuite account, and the same individual shows up to your standups every day.
